Three small steps.

Say hello.
Email your hotel name, the exact room category and its official room or booking link. Tell us who looks after room details and image permissions. No image upload or account is needed to start.

Show us the real outlook.
We’ll ask for one or two original images and confirm where they were taken, which rooms they represent and whether that view is guaranteed for the category. If you have these ready, you can include them in your email.

Agree the details. Then publish.
We review the photo rights, room wording and booking path with you. We record your written permission before publication and share the proposed listing for factual review.
A useful view, honestly described
It doesn’t have to be
picture perfect.
A small balcony over a harbour can be as compelling as a mountain panorama. We review submissions for a distinctive outlook, clear photographs and reliable room information — not a hotel’s star rating.
Partial views, seasonal changes and different room orientations can all be included when the limitations are clear. A category that only offers a requested view must never be presented as guaranteeing it.
Exterior, drone and destination photographs can provide context later. They cannot replace evidence of the view from the room.

What will a founding listing cost?
The first 12 months from publication are free. There is no exclusivity, automatic paid renewal or promise of minimum exposure. Any future paid offer would need a separate agreement.
What permission do you need for photographs?
A non-exclusive, no-fee, worldwide website licence for the named images and room category, for 12 months from an agreed start date. Copyright stays with its owner. Website previews and technical resizing/cropping are included; social posts and paid advertising are not. We confirm the exact images, credit and authority in writing. Can we withdraw a photograph?
Yes. Either party can end permission in writing, effective immediately. We will promptly hide the image from public pages and remove active working copies and request controllable cache purges within five business days. Protected backups follow their recorded deletion schedule and cannot be restored to public use.
Will guests book through Windowroam?
The planned listing will link to your official room page or verified booking path. The public site currently accepts no bookings. Any affiliate commission arrangement would be agreed and disclosed separately; a free founding listing does not enrol you in an affiliate programme.
Can any hotel or destination take part?
We welcome interest internationally, from independent hotels and groups. We review each submission and publish where enough suitable, verified inventory is ready. Sending photographs does not guarantee inclusion. There is no need to send guest names or other private guest information.
How will we recognise the photograph a guest asks about?
Each listing will have a stable public Windowroam reference, with a separate image reference for each photograph. We’ll send you the proposed listing and a reference sheet matching those codes to your supplied category name, source image and booking link. A guest can quote the code or send the listing link, so your team can identify the right view.
You can optionally give us a private internal room number or mapping for review. We keep it out of the public listing and enquiry example. We record category and image changes with you; a replacement image gets a new image reference, and an old code is never reassigned to a different photograph. See the clearly labelled example →
Does a photograph mean a guest can book that exact room?
No. We distinguish “Category allocation varies” from “Exact unit bookability confirmed”. The latter needs explicit hotel evidence of a booking route for that specific unit; a room preference or photo alone is insufficient. It still does not establish availability for a guest’s dates or a confirmed reservation.
Where allocation varies, the listing says so. If a particular view requires an upgrade or request, we explain that and ask the guest to confirm it with you before paying. We never infer a guaranteed room number from a photograph.
